JOB DESCRIPTION: We currently have an opening for an Executive Assistant in our Corporate Headquarters. This position is responsible for supporting key executive positions including the Chief Financial Officer and General Counsel.
Roles and Responsibilities:
· Manages the Executive’s calendar and schedules appointments.
· Maintains and publishes corporate monthly calendar.
· Screens incoming calls and correspondence and responds independently when possible.
· Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.
· Prepares agendas, notices, minutes and resolutions for corporate meetings.
· Takes and transcribes dictation and composes and prepares confidential correspondence, reports and other complex documents.
· Performs complex and confidential administrative functions including developing and typing taped dictation or written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents.
· Creates and maintains database and spreadsheet files.
· Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for all branches.
· Prepares the Executive’s weekly expense report and monthly medical reimbursement.
· Maintains confidentiality of all corporate, personnel and research matters.
· Establishes, organizes and/or maintains files.
Finds, gathers and collects information or data.
Reviews and/or edits documents for accuracy and completeness.
· Reconciles corporate credit card account(s).
· Sends faxes and makes photocopies as requested by corporate managers.
· Orders office supplies.
· Maintains various database and spreadsheet files as requested by corporate managers.
Monitors and/or tracks information or data. |

Required Experience: Qualifications:
· 7-10 years experience as an Administrative Assistant to Senior Management.
· Must be able to work well under pressure and in tight time constraints.
· Reliable with availability to work overtime.
PC Skills:
· Advanced Microsoft Office skills: PowerPoint, Outlook, Word, and Excel including ability to produce spreadsheets, graphs and charts for reports and presentations.
