JOB DESCRIPTION:   Administrative Assistant and Receptionist

PAY RATE: $26,000 - $28,000 annually + bonus + benefits

Fairman & Associates, Inc. is a property management firm specializing in management of commercial properties from Pompano Beach to West Palm Beach. Fairman & Associates, Inc. is a family owned small business that has been located in the Boca Raton area for 15+ years.

Principle Duties and Responsibilities:
- Provides administrative support to office staff of 3 property managers and operations, including answering phones, greeting and assisting visitors, correspondence drafts to tenants, vendors and property owners, lease preparations, elevator renewal certificate coordination, and fire extinguisher renewal coordination.
- Coordinates Tenant Welcome Packets, Move-In and Signage Requests.
- Maintain Property Information Book on Monthly Basis (using Crystal Reports)
- Assist 3 property managers with monthly property activities
- Assist with Lease Renewals, if requested.
- Coordinates Property Maintenance Services:
Processes Work Orders through tenant’s and property manager’s requests
Monitors Maintenance Service Email Account
Processes Weekly Recurring Work Orders
Balances Monthly Work Orders with Accounting
Tracks Maintenance Department mileage
Coordinates Daily Schedule of Maintenance Staff
- Establishes, maintains and updates files, database records and other documents for Properties and Office.
- Opens and Sorts Incoming Mail
- Assists Accounts Payable in compiling and mailing payments.
- Compile and mail monthly property reports.
- Maintain office equipment supplies for postage, copy and fax machines.
- Performs miscellaneous job-related duties as requested.
- Assists with Special Projects, as necessary

Required Experience:
Education, Experience and Skills Required:
- Must have excellent computer skills including a high proficiency in Microsoft Word and Microsoft Excel (and/or Lotus). Preference of knowledge of Tenant Pro and Crystal Reports, however will train.
- Ability to communicate effectively both orally and in writing.
- Experience in property management and/or real estate is a plus.
- Ability to make administrative/procedural decisions and judgements.
- Experience with reading commercial leases a plus.
- Must be a self-starter, possessing very strong organizational and communication skills and the ability to handle various tasks efficiently and within deadlines.

Must be a non-smoker.
Must like dogs.
